| Subject | Adding New Contacts in Outlook with a Digital Recorder, Got Macros anyone? |
Hi all, I'm wondering if there are some sophisticated
users out there who know how to not only have Dragon
Open Outlook by voice and have it Create New Contactsl
I travel around a lot and am using the Philips 9350
recorder and am wondering after giving it the Full
Name of the new contact how do I have Dragon place the
cursor in whatever field that you want to input?
On the Help menu it shows the expample of how to Add
new contacts and after giving the Full Name it says
"Press Alt Yankee" to move over to the Comany Name
field and another command to input the Work Telephone.
But thats it... I don't see any other commands to get
the cursor to the Home Phone, Mobile, Address, email
or the other fields I might want to add to certain
contacts I meet on a daily basis.
Does anyone know? I'm reading up on creating Recording
Macros. Is that the ONLY way to go? Am I stuck having
to put in all this time and try and invent my own
macros for something I imagine has already been done
or should have been done by Dragon.
I appreciate any help in this area and am happy to
help out as I can as well. I just also bought the
Hitachi G1000 400Mhz PC phone with Sprint. Its pretty
cool. I wonder if there is a way to use that with DNS
and have it synch up. I read somewhere that there is
another PC phone out there that can snch with DNS and
that phone didn't cost as much as my 650 phone.
Thanks for any advice,
Phil

Hi Phil
Personally I don't think I would attempt to do exactly the thing you are
trying to do because one little mistake will wreck the whole thing.
However, if you are able to do things perfectly every time here's generally
how it can be done on my machine with my configuration:
Wake Up
Open Outlook
Tab
Tab
Move up 4
Tab
Joe Blow
Tab
(Enter Joe's data in the order of your fields, followed by Tab)
(When you have entered all data:)
"Press Enter"
Go to sleep
The problem with this (and it's a deal killer, in my opnion) is that one
little misrecognized word or command throws the whole thing off. If you
used this philosophy to build a bridge, the first time a rivet popped the
bridge would collapse. It is not robust, it is extremely delicate and
unforgiving, and virtually guaranteed to fail.
I think it would be better to dictate Joe's information in random fashion
and later redictate it into Outlook real-time where mistakes can be
corrected as you go. It is not a slick solution, but it seems more likely
to work.

| Subject | Adding New Contacts in Outlook with a Digital Recorder, Got Macros anyone? |
Rich, I tried your suggestion just now. It basically
works although if I'm adding a contact after I input
the Full Name if I only have lets say their Home phone
and Mobile phone numbers then I'm having to say "Tab,
Tab, Tab etc. " like 10 times to get it to go to that
Home field to input that number.
The Tab command is pretty recognizable like 100% if I
speak it clearly and give enough pause time in
between. But I'm thinking that THERE HAS GOT TO BE A
BETTER WAY!!
One thing I'm envisioning is Adding Commands for
entering each field and Recording Macros. I haven't
done anything like that before. I've only had Dragon
for about a week and the recorder. I've trained Dragon
on the recorder and know how to download the wav files
for Dragon to Transcribe my recorder text.
Unless someone has an idea of a better way to do this
then maybe I'm destineed to create a comman macro for
each field that I want Dragon to place the cursor to
input those fields.
The trick could be though that I have to Add New
Commands and have them added with the wav files I have
to pre-record?? That seems a bit tricky. Has anyone
created macro commands for thier portable recorder
profile to utilize?
Or can I create the commands that can be used for any
profile first with the headset while working directly
with Dragon and then hopefully Dragon will recognize
the same commands being given with the Wavs from the
recorder?? Is there a function whereby Dragon can
temporarily switch to ONLY RECEIVING CUSTOM COMMANDS
THAT HAVE BEEN ADDED? If so, it might make it more
like 100% acuracy if Dragon isn't sifting through all
of its potential other commands that could sound like
my new custom voice commands??
Hopefully someone out there has some good ideas. I'd
love for this to be done without too too much
investment of time & effort.
Thanks in advance,
Phil

Phil
I always make up a set of basic Macro to give me Tab 2, Tab 3 etc for places
where multiple tabs are required. I just edit the existing Tab command by
copying it and adding the necessary number after it. In most cases I use
multiple Tab commands I know how many I need & just use the appropriate Tab
number to get there. I have tried them in the Outlook address book & they
work OK for me
Just a suggestion

If you have DNS Pro its not hard at all to add a few command that will
facilitate your chore. For example, one of the first things a Pro user
adds is something like:
Tab <1To20>,
so that you can say "Tab 10" instead of "Tab Tab Tab . . ." .
Check out the NatPro group here on .

I don't want to be a party pooper, but I think you are running a serious
risk with the recorder thing in this application. While I am pretty hip to
computers and new technology of all sorts, I also know that data security
can be one of the most important things overlooked in any process. I still
keep many handwritten and typed paper records even though I can create them
by voice. For example, my new-client contact sheets are all handwritten and
placed in a folder in the cabinet for future reference. I would never trust
voice recognition with that kind of important data. Eventually, I input
client data into my billing database and other important document input
applications. Nevertheless, name, rank, and serial number are so important
that I would not trust them to be on anything other than paper in the first
place.
More specifically, and perhaps more clearly understood, what I am saying is
that you should record your client contact data on a sheet of paper as you
have always done, and later input that data into the system. While it sounds
remarkably fun and exciting to use this on your recorder, as someone else
pointed out, it is dangerous and could fail. Where will you be when that
happens? Maybe you have lost and address, or a phone number, or even worse,
the name! I can do a lot of things with voice recognition, but elect not to
because of data security and other convenience considerations. It might take
longer to do some things the old-fashioned way, but it might be so much more
safe that is worth taking the extra time.
Not being able to telephone or contact a client when necessary can be
malpractice in my business. How about yours?
Just my take. Best Regards. ///// Richards /////

fyi,
Years ago there was a DNS product called "Mobile
Organizer" that did pretty much what you are wanting
to do. It didn't work reliably well enough to find a
market, though. (I tried it for maybe half an hour and
gave up.)
It was with version 3 or 3.52.
Meantime, if you do have Pro, I suggest you visit
scriven.com for Kim Patch's global macros, which
include a tab 1-100 and a backtab 1-100 that you can
import. Definitely join the macro writers group as
they are the experts at the newer scripting.

I would not use the default Outlook form to insert only two or three
pieces of information into a new contact. I would create a custom user
dialog with Dragon's Advanced Scripting. Below is an example macro that
prompts for the Full Name and Email Address. Then the macro creates the
new contact in Outlook.
Note: Be sure to create a reference to the Outlook Object Library or the
macro will not work!
****
Sub Main
Begin Dialog UserDialog 400,100,"New Outlook Contact" '
%GRID:10,7,1,1
Text 10,21,90,14,"Full Name: ",.Text1
TextBox 110,21,270,14,.TextBox1
Text 10,42,80,14,"Email: ",.Text2
TextBox 110,42,270,14,.TextBox2
CancelButton 290,70,90,21
OKButton 170,70,90,21
End Dialog
Dim dlg As UserDialog
Dim result As Integer
result = Dialog(dlg)
If result < 0 Then
AddContact dlg.TextBox1, dlg.TextBox2
End If
End Sub
Sub AddContact( fullName As String, email As String )
Dim olApp As Outlook.Application
Set olApp = New Outlook.Application
Set myContact = olApp.CreateItem(olContactItem)
With myContact
.FullName = fullName
.Email1Address = email
End With
myContact.Save
End Sub
